Here you will find information on important deadlines, presentation recording and formatting, upload instructions, presider guidelines and other items that you will need to read before attending this event. Meeting-specific information such as information on when to set up and take down your poster can be found at the bottom of this page. 

Meeting Format

Frontiers in Optics + Laser Science will be presented as an in-person event with on-demand content. Archived recordings of in-person talks and prerecorded videos from remote presenters will be available on demand either during the event or soon after it concludes. In addition to our in-person technical session presentations occuring from 27 - 30 October, we will also have a conference Virtual Day on 22 October.  Virtual Day will consist of real time-remote presentations via zoom as well as poster previews for select poster presenters.  FiO + LS will also feature a virtul poster session for presenters that are unable to attend in-person.  Individuals were sessioned into virtual sessions based on their presentation preference request during submission. Presenters will not be allowed to switch from an in-person oral session to a virtual oral presentation, but presenters who cannot attend in-person may switch to a virtual poster if they prefer by contacting Laura Spencer at Lspencer@optica.org.  All presenters including virtual presenters and poster presenters must register as a full technical registant.  

Instructions for Virtual Oral Presenters

For individuals participating in virtual sessions on 22 October, a zoom link will be sent to you the Monday prior to your presentation (20 October).  Presenters in virtual sessions must join the session via zoom no later than 15 minutes prior to the start of the session, but can join the virtual room up to 30 minutes prior to the start of the session.  Presentions on Virtual Day (22 October) will be in real-time and virtual audience members will be able to ask questions via the chat portal.   

FiO Virtual Background 

We encourage individuals recording presentations for on-demand sessions or poster videos to use the FiO LS virtual background. 

The Zoom platform allows you to customize your virtual background in Settings/Virtual Background.

  • Download the FiO LS virtual background image.
  • Select the "+" button to add the FiO LS image to your Zoom client.
  • Select "Mirror my Video".

Note: Virtual backgrounds work best when you present in front of a bare wall with no bright light behind you.

Poster Information

On-site poster presenters will be provided with a board that is 8 feet high by 4 feet wide (244 cm high by 122 cm wide).  Posters should be set up no later than 30 minutes prior to the start of the poster session in which you are scheduled.  Posters should be removed within 15 minutes of the end of the session.  Posters remaining after this time will be discarded.  

Poster presenters who are not attending the conference in person, but will be providing their materials virtually for display in the E-poster gallery, can refer to the Poster Presentation Guidelines page for further details. Full instructions for uploading your poster PDF and three-minute video will be provided by email as well. 

Speaker Timeline

No later than 4 weeks prior to meeting start date Poster presenters will receive an email message requesting their preferred presentation method and containing information on how to upload presentation videos. Access the email  within the conference paper submission system by clicking on the "Alert" pop-up box that appears in your account.
17 October Firm deadline for on-demand session presenters to submit their recorded presentation. The video file must be received by this date in order to be published.
